What is the Employee Provident Fund Organization?

Eligibility of EPF Registration 

The following establishments have to mandatorily sign up for the EPF Scheme.

  1. Any factory employing over 20 people as employees
  2. Additionally, any establishment which the Central Government specifies, which employs over 20 people
  3. Any establishment which the Central Government specifies, even if it has less than 20 employees after giving a two months’ notice 
  4. Moreover, any establishment in which the employees and employer decides should register for the EPF, and whose application the Central PF Commissioner approves
  5. Any establishment employing less than 20 people who voluntarily sign up for the scheme
  6. Similarly, companies which have a large workforce must register themselves with the EPFO within a month of employing over 20 people
  7. Moreover, Co-operative societies which employ over 50 people
  8. Finally, registered companies can do their EPFO online registration even if their workforce is less than the required 20 people

The EPFO registration online may be done by applying online. The application for the same is available on the official website of the EPFO. The EPFO Online form is called the Proforma for Coverage. Along with it, companies must submit Form 5A and Annexure 1. It requires the following information to be successfully filled:

  • Name of the company
  • Address of the company
  • Details of head office and branches
  • Date of incorporation or registration 
  • Total employee strength
  • Type of business 
  • The legal status of the company
  • List of names and address of Directors/partners
  • Wage details of employees
  • Bank Details 
  • PAN details
  • Employees’ basic details 

Documents Required for EPF Registration

  1. Partnership deed – Partnership Firms
  2. Certificate of Incorporation- Public/Private Limited Company.
  3. Registration certificate- Societies /Trusts
  4. Rules and objectives- Societies/Trusts
  5. Income Tax related documents
  6. PAN details 
  7. Memorandum of Association- Public/Private Limited Companies
  8. Articles of Association- Public/Private Limited Companies
  9. Partition Deed
  10. Proof of incorporation – Sales invoice/ license/Salary invoice
  11. Salary details 
  12. Balance sheet

How to Upload DSC

  • Visit the official EPFO Website
  • Log in using your username and password
  • From the homepage go to the Digital Certificate Tab
  • Select the Register Certificate Option
  • The page will then display the company details
  • It will contain details of the employer such as name, mobile number, and email ID
  • Once you check everything, click on Next
  • Then, choose the type of DSC you wish to upload
  • Choose the USB option and click on Run
  • Click on the USB token and then upload or connect your DSC USB Token
  • Select this Certificate and authenticate by entering your PIN details 
  • Once verified, click OK

How does EPFO Online Registration Work?

  1. Visit the E-Sewa portal
  2. Go through the instructions thoroughly to know how to upload the documents
  3. Click on the Employer Sign in option

4. Next, click on the New Registration tab

5. Once you have read all the instructions, click on Register

6. Fill all the required details 

7. Recheck and then submit the form online

8. Enter the CAPTCHA shown on the screen 

9. Next, click on the ‘Get Pin’ option

10. Moreover, you will now receive an OTP on your registered mobile number or email ID 

11. Likewise, enter this OTP and click on Submit

13. This PDF needs to be submitted at the EPFO office later

  • Visit the official website of the EPFO
  • Log in to the portal to check the EPFO fund balance
  • You can then access your EPF Account passbook
