What is an Import Export Code?

The Import-Export Code or IEC is a 10 digit number, which is often regarded as the registration code. The government authority issues it to the ones who have initiated their own import and export business. India’s Directorate General of Foreign Trade (DGFT) approves the issuance of these 10 digit codes to any import-export business in India. It is somewhat identical to the PAN number of the applicants. The import and export business entities must hold an IEC for shipment and other transactional purposes in India. The usage of IEC is mainly confined to the shipment and transportation of goods and services.

Earlier, IEC had to be applied by the applicant through offline windows. However, several issues were reported by the applicants, which led the authority to shift their application window to the online platform. From August 2018, the online platform has been opened to receive the application for the issuance of the IEC number. With the help of the online platform, the IE businesspeople can generate their IEC without much hassle. Several other changes have been introduced into the processing of IEC applications.

Documents are required to apply for Import Export Code

To apply for IEC online, the applicant is required to submit valid documents which are as follows:

  • The applicant is required to submit a bank Certificate (ANF-2A) or else a pre-printed cancelled cheque.
  • Address proof of the company that can be presented in any of the following forms.
  • Sale receipt/ Rent agreement paper/ Lease agreement/ Electricity bill/ Landline bills/ Partnership agreement/ MOU- depending upon the type of entity, you may choose any of the documents as mentioned above, as an address proof.
  • Aadhaar card/ Passport/ Voter ID card- any of these documents can be used as an address proof if the applicant holds proprietorship.
  • No objection certificate (NOC) has to be submitted on behalf of the owner of the firm location in favour of the firm. It is submitted in case the address is not in the name of the applicant’s firm.

It is of paramount importance to upload the documents electronically and the size of the document should be in PDF or JPEG format. The size of the document should not exceed 5 MB.

In case the applicant is seeking to modify their IEC, they are required to submit only those documents corresponding to which they want changes to be made.

What is the procedure to apply online for IEC?

After getting to know the prerequisite documents to apply for IEC online, one needs to know the process involved to apply for IEC online. The process of IEC form fill-up involves the following steps.

Step 1: Visit the DGFT website

Firstly, visit the DGFT website. All the latest news and updates regarding the IEC will be displayed on the website.

Step 2: Open the Service Tab

Secondly, a service tab would be mentioned on the top right-hand side of the page. A drop-down menu will be displayed, where various services provided by the DGFT would be displayed on the screen. To apply for IEC, click on the “Online IEC application” option as visible on the drop-down.

Step 3: PAN number

After selecting the option, a new page will open where the PAN number has to be entered. The PAN card number of the proprietor of the entity has to be mentioned which has been issued by the government. Then, click the next option.

Then, the page will ask you to enter your mobile number and email address. It will be followed by a captcha code. Jump onto the next part where you have to click on the “Generate Token” option.

Step 4: ECOM reference number

A 20 digit ECOM reference number will be generated, which is the unique identifier of the applicant. After this, the applicant has to fill-up the form related to his business/company/entity.

Step 5: Personal Details

A new page will be displayed on the screen, where you will have to enter your basic personal details such as the applicant’s name and date of birth (DOB). In case the applicant has been applying for an entity or partnership firm, then along with the company’s name and the date of incorporation or formation has to be mentioned.

Step 6: Payment process

After form fill-up, the payment procedure has to be followed. Click on the online payment option as the payment can be made using credit card/ debit card/ internet banking.

Step 7: Documents submission

The page will ask to upload supporting documents. Click on the attachment option and choose the file. All the previous details will be automatically filled up in the ANF-2A form as soon as it is displayed on the screen.

Step 8: Check details

Make sure to check the details and then press the proceed button.

After the completion of the form fill-up, the applicant will receive the e-IEC certificate in due course of time.

Modification of e-IEC

The ones seeking to modify in their current IEC certificate are required to follow another procedure which is as follows:

  • Firstly, visit the DGFT website
  • Select the modification IEC option under Services tab
  • Enter the PAN number and then click next
  • Submit the IEC document along with the supporting documents and description of the modification
  • To make IEC modification fees payment, click on the payment option and pay the fees via debit/credit/ net banking services.
  • Receive acknowledgement message.

The IEC modification process is more tedious than the fresh application for IEC.

Moreover, it is essential to make sure that the documents submitted are within the size limit and government-issued. Any document other than the above mentioned will make the application stand cancelled. However, after completing the process, an acknowledgement slip will be received by the applicant. Make sure to keep it safe till you receive e-IEC otherwise as that slip can be used for future reference.
