How To Update Digital Signature Certificate

An employer must have a digital signature for login and transfers while employees do not. A digital signature prevents unauthorised and malicious alteration during transit. Employees' digital signatures need to be of Class 2 for the employer to verify them

A Digital Signature Certificate (DSC) is a secure key that is used for validating the identity of the person who is signing a document. Update Digital Signature Certificate is issued by the Certifying Authority recognized by the government. It contains the details of the person holding it, such as his name, country, email address, pin code, the name of the authority which has issued the certificate and the date of issuance.

What are the different classes or types of DSC?

Authorities issue three types of DSC certificates. 

  • Class 1: Issued to an individual or an entity to verify the username and email id
  • Class 2: To the director or the authorised signatories of LLP, Private Limited Companies, Govt. departments, etc. It is mandatory for e-filing with the ROC. In this, the identity is verified by cross-checking the pre-verified database
  • Class 3: Class 3 is used for online participation, e-auction and bidding. This is the highest form and the person is required to be present at the place of registration authority and prove his identity.

Who requires a DSC and who can be the authorised signatories?

It is made mandatory for the following people to have a DSC to avoid any scope of forgery and error while signing the documents:

  1. LLP;
  2. Private and Public Limited Companies; 
  3. Foreign Company; 
  4. PSU’s;
  5. Unlimited company; and 
  6. Foreign Limited liability partnership.

Further, the Chartered Accountants or Company Secretaries of the company are also required to have their DSC

The following can be the Authorised signatories of a DSC:

1. Hindu Undivided Family Karta
2. Statutory body, Local authority and Government Department Authorised Signatories
3. Proprietorship Firm The proprietor
4. Partnership Managing Partner
5. Trust Registration Management Trustee
6. LLP/Company With due authority from LLP or the Board of Directors, its Director/Partner or any other authorised Signatory
7. Society/Club With due authority from the management committee, authorised Signatory.

Who can be the certifying authority of a DSC?

Under section 24 of the Information Technology Act, 2000 all the certifying authorities have been given a license for issuing Digital Signature Certificate online to the people who apply for it or have been mandatorily required to issue a DSC. Authorities issuing Class 2 and Class 3 certificates may include: 

  • IDRBT Certifying Authority 
  • E-mudhra 
  • Code Solution 
  • Safescrypt 
  • NSDL
  • Capricorn Identity Services
  • CSC e-Governance Services India Limited

What are the steps to update a DSC on the MCA portal?

Step 1: Visit the official website of MCA and login or click on the MCA Services tab option. http://www.mca.gov.in/

Step 2: Choose the ‘Update DSC’ option from the drop-down menu. You will be redirected to a new page with two options:

  1. Update Digital Signature Certificate DSC for Business users
  2. Update Digital Signature Certificate DSC for Bank Officials

Step 3: Enter the login credentials

Against the New Digital Certificate, Choose the Select Certificate button.

You will have to browse the new DSC to update it and upon uploading the same, choose the Update Button

You will receive a message that the DSC has been updated.

Note: In cases where the DSC of Bank officials or external agencies needs to be updated, the service can be accessed without having to log in to the MCA21 application form.
